MentorOS · NDIS CRM

One place for every participant. Built by a provider who needed it.

MentorOS replaces the spreadsheets, the missed billing windows, and the inconsistent case notes. Built for Australian Mentoring Services because nothing that existed actually worked for support coordination. If you're running a small NDIS provider, you already know exactly what we mean.

The problem

Tracking participant records, shift notes, and incident reports across separate spreadsheets

Spending hours on admin that should take minutes — billing, progress notes, follow-ups

Missing NDIS billing windows because nothing flags what needs to be claimed and when

What MentorOS does instead

One place for every participant — records, progress notes, incidents, and billing in a single workflow

Automations that handle routine reminders, shift follow-ups, and billing alerts

NDIS billing tracking built in — so nothing falls through the gap between a shift and a claim

Built from experience

Why we built it instead of buying something off the shelf.

Running AMS meant living the admin problem every day — participant plans in one place, case notes in another, outcomes tracked nowhere consistently. Every gap in the system was a gap in the support we were providing. That's not acceptable when you're responsible for people's lives.

We looked at what existed. Generic CRMs built for sales teams, not support coordinators. Platforms requiring months of configuration for a team that needs something working on Monday. So we started building MentorOS — a tool shaped around how AMS actually works, not how software companies assume we work.

Common questions

We were tracking everything in a spreadsheet. MentorOS gave us one place for everything — case notes, plans, billing alerts. It took a week to feel normal.
